The College Secretariat supports and assists the College and the College teams and ensures that their work is done in the most efficient way. The College Secretariat serves as a central link between the College and the administration.
The following key tasks are performed by the College Secretariat:
1. College meetings
The College Secretariat prepares and attends the College plenary meetings and drafts the minutes of these meetings. After every College plenary meeting, highlights are drafted and distributed to all post holders of Eurojust by the College Secretariat to ensure internal communication on the activities of the College.
Further support is provided in the organisation of College-related meetings, as well as working groups and College projects.
The College Secretariat is in charge of preparing the elections of the President and the Vice-Presidents of Eurojust.
2. College documents and archive
The College Secretariat prepares and reviews College Decisions and other College documents, drafts and distributes the weekly agenda of the College and keeps the College calendar updated.
The College Secretariat maintains an electronic and paper archive of College-related documents, including a register of the nominations of the National Members, Assistants and Liaison Magistrates.
The College Secretariat processes the registration and closing of cases in the Case Management System after approval by the College.
Another task is to keep track of the casework of Eurojust and to regularly provide statistics on the number of cases and coordination meetings.
4. Support to the College Teams
The College Secretariat provides administrative support to the College teams, especially by organising and following up the team meetings.
